Job Description

Residence: Santiago, Chile

Work Schedule: 5x2 shift (Monday to Friday)

English advance level - Mandatory requirement

PURPOSE

Execute the fulfillment of contractual purchase and sales transactions to satisfy Anglo American’s and customers’ contractual obligations. This role is critical in delivering flawless contract administration and sales operations for trading and equity sales of Base Metals products in Chile and ensure full compliance with internal policies.

Leading a team of Sales Operations Specialists to ensure execution of shipments related activities as per contractual / commercial terms and optimizing value creations for all commercial activities for the Copper and Molybdenum Chile Marketing team.

KEY TASKS

Supervise the administration and execution of sales/purchase contracts

  • Supervise that contractual terms and obligations are being complied to and that accurate and up-to-date contract records are being kept in the system. Manage contract administration activities to ensure sales and purchase contracts reflect commercial agreements while complying with internal policies.
  • Provides technical support to team members on contractual terms, with an emphasis on commercial terms, payment terms and trade finance requirements, to ensure that they are operational effective in the sales/ purchase contracting processes.

Supervise the post-contracting executions of shipments

  • Responsible for the team members post-contracting execution and coordination between sourcing, sales, finance, shipping and port operations to ensure all matters are in order, to support timely delivery of product to the customers – off takers - suppliers in accordance with the contract, specifically including obtaining and collation of shipping documentation for both Load and/or Discharge ports
  • Responsible for the team’s performance on timely accurate entry into the system, from which the preparation and issuance of accurate provisional and final commercial invoices of sales in accordance to contractual pricing formulas shall be delivered
  • Overseer the team’s performance in prompt update and work closely with the Sales to ensure all potential overdue receivables and payables are to be follow-up with customers/suppliers to avoid/minimize the possibility of any overdue payments.
  • Ensure smooth execution without breaches of 3rd party deals, prevent value leakage between purchases and sales shipment
  • Responsible for management, and proper and timely control of Customs declaration of Final Value to avoid multimillion fines and reputational damage to Anglo American. (IVV submission)

Customer Services

  • Manage customer communications and deliver high service level to the customers – off takers - suppliers in terms of quality and meeting their expectations.
  • Manage customer operational interactions and communications to optimize results.
  • Facilitate and coordinate customers and supplier’s claims / queries to ensure speedy resolution.

Trade Finance

  • Design and manage work with shipping lines, banks, sales operations teams, to execute working capital financing options and accelerate cash collection from customers, and hence reduce cash collection cycles across products
  • Work closely with finance/ treasury to facilitate cash flow management and support working capital management
  • Supervise team to ensure trade finance instruments like documentary credits and other payment methods are managed according to risk policies and contractual agreements.

Reporting

  • Provide periodic reporting on contract administration and sales operations performance (Contract to cash, LOI tracking, management performance dashboard report, etc) and ad hoc reports as required.
  • Responsible in monitoring of the accounts receivables report and shipments scheduling in accordance to contractual obligations and vessel itineraries.
  • Ensure team completeness in month end reporting and constantly review to ensure accurate records are maintain within relevant systems.

Leadership authority to Sales Operations Team

  • Coach and manage direct reports to ensure high performance, and adherence to an enhanced control environment while trading operations are introduced.
  • Support the personal and professional development of direct reports
  • Initiate working relationships beyond immediate team, fostering cross-commodity collaboration and synergies for the Marketing BU.
  • Set performance objectives that support overall team strategy.
  • Organize payments to supplier and prompt delivery of invoices to suppliers.

Process Improvement

  • Support the continuous review of processes as part of the Marketing Santiago structure review; identifying opportunities that will help maximize value.

Group Governance and Risk Management

  • Ensure contracts sales operations activities are executed in alignment with Group Business Integrity and Governance policies
  • Responsible for month end completeness check for accurate QP declaration and Invoicing,
  • Escalate and communicate any contract compliance discrepancies, operational and other risk areas to the Manager Customer Service

Qualifications

Experience

  • Professional degree in Business Engineering, International Trade, Industrial Civil Engineering, or a related field.
  • More than 5 years of proven experience in logistics and supply chain management, particularly in base metals commodities.
  • Demonstrated technical expertise in commercial operations within the commodities sector, preferably in the mining industry.
  • Solid background in international trade, with hands-on experience in global commercial transactions, customer service, and cross-border coordination.
  • Experience working in a trading environment, with a strong understanding of contract drafting and execution.

Requirements

  • Advanced knowledge of international trade practices, including Incoterms, delivery terms, and documentation such as Charter Party Bills of Lading, Bills of Lading, warehouse releases, warrants, and holding certificates.
  • Strong understanding of credit risk management using trade finance instruments such as letters of credit, standby letters of credit, silent guarantees, discounting, and forfaiting.
  • Advanced proficiency in invoicing systems (preferably SAP) and system integration.
  • Full compliance with internal policies and business requirements in the management of commercial contracts and execution of payment processes.
  • Advanced English proficiency (spoken and written) is required due to frequent interaction with international stakeholders and global teams.

  • Strong leadership capabilities, including the ability to coach, motivate, and develop team members.
  • Skilled in setting performance objectives and fostering cross-functional collaboration.
