Our client, a personal injury law firm based in the U.S., is seeking a Legal Intake Coordinator to join their team. The firm handles a high volume of legal cases and prioritizes professionalism, responsiveness, and exceptional client support in every interaction.
About the role:
As a Legal Intake Coordinator , you will serve as the first point of contact for clients, ensuring their questions and concerns are addressed promptly and professionally. This role involves managing client communications, assisting with administrative tasks, and supporting the intake manager and legal team. The ideal candidate will be organized, empathetic, and able to handle sensitive client matters with discretion and confidentiality.
U.S. Law Firm Experience Is Required.
Personal Injury experience is a plus.
What you’ll be doing:
- Handle inbound and outbound calls with professionalism and empathy.
- Assist clients by answering questions, scheduling appointments, and giving case status updates.
- Conduct preliminary screenings to determine whether a case qualifies.
- Accurately document client information in the firm’s case management system.
- Follow intake scripts, checklists, and workflows to ensure smooth client onboarding.
- Manage follow-ups with potential clients to increase intake conversions.
- Coordinate communication between clients, attorneys, and case managers.
- Escalate urgent or sensitive matters to the appropriate team members.
- Provide exceptional customer service to ensure clients feel supported throughout the legal process.
- 1+ year of experience in intake, customer service, call center, or administrative roles (U.S. law firm experience required).
- Strong English communication skills, both written and verbal.
- Ability to multitask and handle a fast-paced, high-volume environment.
- High level of empathy, patience, and professionalism when speaking with clients.
- Strong attention to detail and accuracy in data entry and documentation.
- Self-motivated with the ability to work independently and follow structured workflows.
- Comfortable speaking with distressed or emotional clients while maintaining professionalism.
- Proficient with Microsoft Office and quick to learn new software (CRM or case management systems).
- Reliable, organized, and committed to delivering high-quality client service.
Remote Status: Fully Remote
Preferred Location: Latin America
Working Hours: 9 am - 5 pm EST
Holidays: US Federal Holidays
Salary: USD 900 to USD 1200 per month
