About the client:

Our client is a U.S.-based law firm with a strong focus on real estate law, business law, and commercial law. They pride themselves on providing personalized legal support to their clients and are committed to maintaining a high standard of professionalism, accuracy, and client satisfaction. They are currently seeking a remote Administrative Assistant to support their busy legal team.

About the role:

We are looking for a detail-oriented and tech-savvy Administrative Assistant who can thrive in a fast-paced environment and help streamline operations for the law firm. This role requires excellent organizational and communication skills, along with the ability to manage high-volume email inboxes, follow up on billing and client documents, and optimize software systems for greater efficiency.

The ideal candidate will be highly proficient with technology and bring strong customer service skills to client communications. Working with automations and improving processes through technology is a key part of this role.

US Law Firm experience is a plus, but not required.

What you’ll be doing:

  • Managing a high-volume inbox (400+ daily emails), prioritizing and drafting personal replies.
  • Following up on client billing and ensuring timely document signatures.
  • Scheduling personal and professional appointments for attorneys.
  • Making client follow-up calls with professionalism and care.
  • Supporting the team by optimizing transaction software systems and introducing automation workflows to increase efficiency.
  • Creating process improvements using Excel for tracking, reporting, and efficiency.
  • Delivering outstanding customer service in all client interactions.
  • Committing to the role long-term and growing with the firm.

Who are we looking for?

  • 2+ years of experience as an Administrative Assistant, Executive Assistant, or similar role.
  • Strong technology skills, particularly in Microsoft Office (Excel) and Google Workspace.
  • Experience handling large volumes of email communication.
  • Proven ability to manage billing processes and follow up on documents.
  • Excellent customer service and communication skills (written and verbal).
  • Highly organized, detail-oriented, and efficient under pressure.
  • Ability to work independently in a remote environment.
  • Experience working in a US law firm is a plus, but not required.

Position: Administrative Assistant

Remote Status: Fully Remote

Preferred Location: Latin America

Working Hours: 9 am to 5 pm EST

Holidays: US Federal Holidays

Salary: USD 700 - USD 1000 per month
