This Role is to ensure an efficient and effective support service by providing a comprehensive confidential secretarial and administrative service across the whole range of the Management Team remit. The following roles and responsibilites will be required -
- Provide comprehensive secretarial and administrative support to a multi-disciplinary, centralised service. Includes scheduling of meetings and minute taking.
- Management of SSTS and coordination and management of annual leave
- Provide a high standard of quality improvement for the multi-disciplinary team. Statistical analysis of data and data audit; identifying efficiencies and problem areas within data streams. Extensive working knowledge of Milan, Tolero and Microsoft Excel essential.
- Extract, collate and summarise data to enable preparation of standard verbal, written or statistical reports or returns. Develop and support reporting processes.
- Deal with telephone and face to face enquiries from all staff groups, patients, relatives, carers, providing information, directing and prioritising queries as appropriate, to ensure efficiency and effectiveness of service delivery.
- Monitor compliance with Health and Safety Policy and Procedures.
- Cover for annual and sick leave.
- Ad-hoc duties as required

What we'll need you to bring
- Professional qualification i.e. HNC in a relevant discipline (Business Admin/Secretarial Studies/Public Administration) or equivalent previous experience in a secretarial role (ie at least 5 years experience as a department/personal secretary)
- Well-developed interpersonal skills in customer care.
- Excellent communication skills.
- Good organisational and planning skills.
- Understanding of a range of procedures and processes.
- Ability to prioritise work and work on own initiative whilst under pressure.
- Proficient I.T. skills, which include a working knowledge of Microsoft packages.
- Ensuring confidentiality, diplomacy and discretion are maintained at all times.
It would be great if you also have
- Educated to degree level or equivalent
- Relevant NHS experience
- Knowledge of Surgical Specialties, including experience in waiting times both out-patient and in-patient
- Knowledge of the business management of NHS activities and national targets
- Working knowledge of Trakcare
- OPERA
- Winscribe
- SSTS
- Bankaide
- Tolero
- Report Builder
- Demonstrate ability to produce formal business reports
- Knowledge and experience of management skills
- High standard of interpersonal skills
- PC skilling inc spreadsheet & database analysis
Fixed Term or Secondment for 12 months
Part Time
30 hours
Please note this is a part time post and the salary for this position will be pro-rata.
Please note this is a fixed term post for 12 months. Where a post only has temporary funding and an existing member of NHS Lanarkshire staff wishes to apply, this will be treated as a secondment. The employee MUST already have written agreement from their line manager to be released on a secondment before applying for the post.
Location and Working Pattern
This role will be based in Surgical & Critical Care within University Hospital Hairmyres.
The working pattern hours for this role are - 0800-1430
